How to Build an ATS-Friendly Resume People Can Read

What an ATS-friendly resume actually means

An applicant tracking system needs to extract the same basic information a recruiter looks for: your name, contact details, job titles, dates, skills, education, and evidence of results. An ATS-friendly resume makes that information easy to parse without turning the document into a list of repeated keywords.

The safest approach is to write for both readers. Use standard section headings, keep dates consistent, and describe your work with terminology that accurately matches the role you want.

Match the job description naturally

Start by separating the job description into responsibilities, required skills, tools, and outcomes. Then compare those requirements with your own experience. Add a term when it genuinely describes something you have done; do not add a skill simply because it appears in the advertisement.

Exact terminology can matter. If the employer asks for stakeholder management, use that phrase when it is accurate rather than relying only on a vague alternative such as communication. Support the term with a specific example in your experience section.

Turn duties into evidence

A readable ATS resume still needs strong evidence. A duty tells the employer what your role included; an achievement explains what changed because of your work. A useful bullet usually combines an action, context, method, and result.

For example, “Managed customer reports” is difficult to evaluate. “Automated weekly customer reporting in Power BI, cutting preparation time by six hours per week” gives the reader a clearer signal. Only use numbers you can verify.

Check the exported file before applying

The source document can look correct while the exported PDF loses text, changes page breaks, or makes links unusable. Open the final file, select its text, inspect the dates and numbers, and read it once as a recruiter would.
